HOBO Inc. is the leader in custom chemical formulating and blending. We manufacture products for a variety of commercial industries, including commercial carwash and craft brewing. We have an excellent opportunity for an Accounting Clerk / Administrative Assistant at our facility in Farmington, MN.
POSITION OVERVIEW:
The Administrative Assistant provides part‑time administrative, accounting, sales, and delivery coordination support for a chemical manufacturing company. This role supports day‑to‑day office operations, transactional accounting activities, and delivery documentation while ensuring compliance with company procedures, and safety requirements.
DUTIES AND RESPONSIBILITIES
- Perform routine administrative duties including data entry, document control, filing, scanning, and correspondence
- Maintain organized and accurate records related to accounting, sales, deliveries, and compliance documentation
- Serve as an internal and external point of contact by answering and directing phone calls and emails
- Provide administrative assistance to accounting, operations, and sales teams as assigned
- Assist with accounts payable and accounts receivable processes under established controls
- Prepare and process invoices and enter transactions into the ERP/accounting system (Sage 100)
- Match purchase orders, delivery tickets, and invoices; identify discrepancies for resolution
- Maintain accurate financial and transactional records in accordance with company procedures
- Enter and maintain customer sales orders, pricing, and records in the ERP system
- Coordinate order details with sales and operations to support accurate fulfillment
- Respond to routine customer inquiries regarding orders, invoices, and delivery timing
- Coordinate administrative delivery scheduling with internal drivers
- Verify order quantities, product data, and delivery instructions prior to shipment
- Maintain delivery documentation and follow up on incomplete or missing paperwork
- Distribute Safety Data Sheets (SDS) and assist with shipping documentation in compliance with DOT and chemical regulations (training provided)
- Comply with all company safety rules, plant procedures, and training requirements
- Maintain confidentiality of customer, financial, and proprietary business information
- Support recordkeeping related to regulatory, environmental, and quality compliance
REQUIREMENTS:
- High school diploma or equivalent
- Minimum 2 years of administrative or office experience, including accounting, invoicing, or order processing exposure
- Understanding of accounts payable/receivable processes
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail, organizational ability, and accuracy
- Ability to manage multiple tasks and priorities in a deadline‑driven environment
- Effective written and verbal communication skills
PREFERRED QUALIFICATIONS:
- Some post-secondary education in Accounting
- Experience in manufacturing, chemical, industrial, or distribution environments
- Familiarity with ERP or accounting systems (Sage100 or similar)
- Experience supporting sales coordination or logistics
